The Challenge

Tehnodent's online orders through their UPEX.ro PrestaShop store were completely disconnected from their CRM. Every time a customer placed an order, the data had to be manually re-entered into Zoho CRM - a tedious process that introduced errors and delayed the sales team's ability to follow up. There was no visibility into the full customer journey: the team couldn't tell which website visitors became buyers, which products led to repeat purchases, or which customers were most engaged.

Without automated marketing, new customers received no onboarding communication, and existing customers were only contacted when staff remembered to send a manual email. The company was leaving revenue on the table - unable to nurture leads, score engagement, or deliver the consistent, personalized experience that builds long-term loyalty in the competitive dental equipment market.

Background

Tehnodent Maintenance SRL, through its online store UPEX.ro, is a trusted partner of dental practices in Romania, importing and distributing state-of-the-art medical equipment. The company prides itself on long-standing partnerships and believes in building healthy relationships with all its clients.

In the spirit of its values - digitization and customer satisfaction orientation - Tehnodent decided to modernize its workflows. The objective was to integrate the PrestaShop e-commerce platform (the UPEX.ro website) with the Zoho CRM system and implement automated email marketing campaigns to streamline processes and improve the customer experience. The website itself was later modernized with Revylio, ensuring the online storefront matched the quality of the backend automation.

1. PrestaShop Integration with Zoho CRM – Custom Webhook

To connect the PrestaShop online store with Zoho CRM, a custom webhook module was developed that automatically transmits information to the CRM when a customer places a new order.

Analysis and Requirements Definition

Detailed discussions to determine exactly which data needs to be transmitted (customer contact, ordered products, order value) and alignment of expectations across all parties.

Solution Design and Webhook Configuration

Technical architecture of the integration using the PrestaShop hook system and configuration of Zoho CRM API endpoints with secure authentication.

Custom Module Development

Programming the module that listens for the "new order" event, retrieves relevant information, and transmits it to Zoho CRM via API, with security measures and error logging.

Zoho CRM Configuration

Settings for receiving and processing data, automatic Lead/Contact creation using Zoho CRM API functionalities.

Rigorous testing in a staging environment with test orders to verify the complete flow and correct any discrepancies.

2. Campaign Configuration in Zoho Campaigns

Implementation of an enhanced email communication system with two types of campaigns – one manual (single newsletter) and one automated (workflow drip campaign).

Consultation to understand marketing needs, target audience, and expected outcomes (increased retention, conversion).

Manual Newsletter Campaign

Single email configuration with a template adapted to the UPEX/Tehnodent brand, saved as a reusable template for future communications.

Automated Campaign (Workflow)

Welcome workflow for new customers, automatically triggered on the first order, with a series of emails sent at set intervals and logical branches based on behavior.

Lead Scoring and CRM Synchronization

Action-based scoring mechanism (email opens, clicks), synchronized in CRM with automatic follow-up task generation for high-scoring contacts.

Testing and Verification

Extensive testing for the newsletter (cross-client design, deliverability) and automated workflow (trigger simulation, timing and branch verification).
