The Challenge
Salus Controls Romania was running its business across two disconnected systems: customer relationships lived in Zoho CRM while inventory, orders, and financials were managed in SAP Business One. The sales team had no real-time visibility into stock levels or order status, forcing them to call the warehouse or wait for back-office confirmations before they could give clients answers.
Every sales order required double data entry - once in CRM by the sales manager, then again in SAP by the back-office team. This manual process was slow, error-prone, and meant that customer data was split between spreadsheets and two enterprise systems with no single source of truth. The company needed a unified, automated workflow to eliminate duplicate work and give both their team and their clients instant access to accurate information.

Salus Controls Romania is a provider of smart home and HVAC control systems, headquartered in Cluj-Napoca. The company offers advanced automation solutions for residential and commercial buildings, serving a diverse client base across Romania.
Before the Svennis solution was implemented, the sales team and back-office staff were dealing with duplicate manual processes for managing sales orders. Sales managers entered customer requirements into Zoho CRM, after which back-office staff had to manually re-enter the same information into SAP Business One for processing.

Clients did not have direct access to real-time stock data and could not place orders on their own. All orders had to go through the sales team, causing delays and extra work for staff.

Fragmented Data for the Sales Team
Sales and stock data were scattered across two systems (CRM and ERP), making it difficult to obtain comprehensive reports and up-to-date visibility on orders and inventory.
The Implemented Solution
Based on the assessment and discussions with Salus Controls, we designed and implemented an integrated system with the following components:
Bi-Directional Zoho-SAP Integration
A custom integration layer (built with Node.js) connects Zoho CRM and Zoho Creator with SAP Business One, ensuring that data flows seamlessly between CRM and ERP in real time. The integration completely eliminates the need for duplicate data entry.
React.js Client Portal on Zoho Creator
We developed a user-friendly client portal within Zoho Creator using React.js. This portal allows Salus clients to log in, view real-time product stock levels, and place orders directly, without needing to contact a sales representative.
Automatic Order Creation in SAP Business One
Whether an order is entered by a sales manager in Zoho CRM or by a client through the portal, the integration instantly creates a corresponding sales order in SAP Business One. This completely eliminates the need for back-office staff to re-enter data.
Bi-Directional Status Synchronization
The system synchronizes updates in both directions. Any status change or processing update made in SAP Business One automatically updates the relevant record in Zoho CRM and the client portal. This keeps the sales team and clients informed about order progress (such as confirmation, shipping, or delivery) without manual communication.
